An array of modules and functionalities is accessible to aid business operations, comprising a comprehensive system that offers extensive assistance to the sales team in managing corporate transactions. It encompasses all essential stages of the buying or selling process, including inquiry, quotation, execution, and financial settlement.
The execution phase can seamlessly integrate with production and warehousing processes and can occur sequentially across multiple deliveries.
All code data, product names, and notes can be documented in various languages to facilitate foreign trade processing. All textual data is encoded in UNICODE to accommodate any character set, including Cyrillic.

Business Process Modelling and Monitoring

Business processes within the system are represented by chains of documents and their corresponding items, which can be depicted as an oriented graph. These processes are not predetermined in the system but are configured based on the user’s specific circumstances.
Documents are interconnected through items, facilitating links between them. For instance, when the total of items on delivery notes matches the ordered quantity, the order status is automatically set to “Fulfilled” for the user.
The status of orders or projects can be monitored using specialized EPASS objects known as business cases. Within a business case, users can track invoicing status, reimbursements, total costs, revenues per order, as well as their respective ratios.

Catalogues and Price Lists

The ERP EPASS® utilizes the catalog to document both tangible and intangible products and services involved in the company’s production or business operations. Users can generate multiple catalogs with various focuses, such as sales and purchase catalogs, and import catalogs from external suppliers as well.
The price list function streamlines product pricing and evaluation. Users can establish multiple price levels to assign different prices to a product based on its intended use (e.g., purchase, sale) and proactively prepare new prices for products effective from a specified date.

Warehouses

The warehouse agenda can be flexibly configured to accommodate all the specificities of the company’s warehouse records, providing an accurate overview of the physical, accounting, and available quantities of warehouse items. This includes anticipated changes in status based on received and issued orders. For any number of warehouses, users can define the types of documents that impact stock status.
The Location Warehouse feature supplements inventory records with information about the specific locations where quantities of stored goods are situated.
EPASS Mobile Store is tailored for users operating in the field, where using a laptop may not be feasible for various reasons. Instead, it is optimized for mobile devices with small touch screens, such as tablets. It is suitable for managing simple repetitive tasks in production, warehousing, shipping, or sales.

Logistics

As part of the sales process, arranging transportation of the sold product to the end customer by an external carrier may be necessary. This can be accomplished using the order document, which includes all pertinent information regarding the delivery method, COD, insurance, notifications, etc.
Upon generating a dispatch or delivery note, additional details about the specific delivery are included, and a transfer protocol (in XML format) is generated and uploaded to the carrier’s web portal.

Large, intricate business operations entail numerous events related to their execution. ERP EPASS® facilitates recording and overseeing the execution of these events and activities, including received emails, customer calls, meeting minutes, and scheduled meetings.
For effectively reaching out to a selected group of partners by disseminating business information, invitations, and congratulations, bulk notifications are well suited.
The email client offers comprehensive email communication with all the standard features of typical email clients. An advantage is the direct integration with the Organizer and Document Management modules, allowing users to create events or documents based on received or sent emails and link them to relevant partners based on the email addresses provided.

ERP EPASS® is closely integrated with Microsoft Office applications and incorporates the capability to work with open DOCX, HTML, and XLSX formats. This enables users to develop various templates that can be automatically filled with data from the system. For instance, a DOCX template designed for menus can be populated with data from the EPASS document Menus (partner, address, date, document items, user parameters, etc.).
